Visiting a Linen Manufacturer: A Factory Checklist for Hotel Buyers

A quote and a sample show what a supplier can make once. A factory visit shows whether they can make it the same way thousands of times. For hotel groups, caterers, and restaurant chains placing large or repeat orders, an organised visit is one of the most useful steps before choosing a table linen manufacturer.

Prepare before you go

Bring your specification: item types, sizes, colours, hem style, any logo work, and the quantities you expect over a year. Bring the approved sample if you have one. Ask the supplier in advance to show a current order moving through production, so you see normal work rather than a staged demonstration.

Decide who attends. A purchaser, someone from housekeeping or food and beverage, and, where possible, a person who understands laundry will notice different things.

Fabric receiving and cutting

Start where fabric enters the unit and follow it through:

  • Is incoming fabric checked for width, weave faults, and shade before cutting?
  • Are rolls labelled so a finished order can be traced back to its fabric lot? Traceability makes repeat-order batch matching much easier.
  • Are cutting sizes allowing for shrinkage agreed in the specification?
  • Is the cutting area clean and organised, with fabric kept off the floor?

Stitching and finishing

Watch hems being stitched. Look for consistent hem width, straight lines, secure corners, and thread ends trimmed neatly. Our hem and seam inspection guide lists the faults most likely to fail in commercial laundries.

Ask how logo embroidery or woven designs are positioned and checked, and how pressing and folding are done so pieces arrive ready to store.

Inspection, packing, and records

Ask to see the final inspection step. Who checks each piece, against what standard, and what happens to rejected items? A good supplier can explain this simply and show where rejects are kept apart from good stock.

Look at packing: are bundles labelled with item, size, colour, quantity, and order reference? Clear labels save time in your linen room and help with stock audits. Ask what records are kept for each order and how quickly they can be shared if a problem appears later.

Capacity and communication

Discuss realistic lead times for your typical order and for peak seasons such as weddings and year-end events. Ask how the supplier handles urgent top-ups and how they will tell you about delays.

Finally, judge the conversation itself. Direct answers, willingness to show the work floor, and practical questions about your laundry and usage are good signs. Note everything on the day and compare suppliers using the same checklist, alongside our broader hotel linen procurement checklist.
