Wedding Season Linen Orders: How Hotels Should Plan Lead Times, Samples, and Deliveries
In India, the wedding season concentrates a large share of a hotel's banquet business into a few months, and linen demand follows. Properties that order late face rushed production, limited colour choice, and new stock arriving the week of a large function with no time for inspection or a first wash. Working backwards from the first big booking gives purchasing, housekeeping, and the supplier the time each step actually needs.
Start from the event calendar, not the stock room
List confirmed and expected functions by date, guest count, table shapes, and any themed colour requests. Convert those into linen quantities using your current par levels, then compare against usable stock after removing pieces that are due for retirement. The gap is your order, and the date of the first large function is your deadline.
Check with sales and events teams for tentative bookings. A shortfall discovered from a signed contract three weeks out leaves little room to produce, deliver, and prepare new linen properly.
Build realistic time for samples and approvals
New colours, sizes, or logo work need samples, and samples need decisions. Allow time for the supplier to make or send samples, for the hotel to test them on real tables and through its own laundry, and for any correction round. Approval often stalls on internal sign-off, so name the person who approves and agree the date by which they will decide.
For repeat items, ask for a shade or quality reference from the previous batch so the new order matches stock already in service. Mixing visibly different whites or colours on one banquet floor is a common and avoidable problem.
Ask for confirmed timelines in writing
Lead times depend on quantity, fabric availability, dyeing, finishing, and the supplier's other commitments in the same season. Ask the supplier to confirm a production and dispatch date after sample approval, and agree what happens if either side changes quantities or specifications later.
For large orders, consider staged deliveries: an early lot that covers the first functions and gives time for inspection, followed by the balance. Staging also lets you check the first lot through your laundry before the full quantity is accepted.
Leave time to inspect and pre-wash before service
New table linen should be counted, inspected for size, hems, and shade, and normally laundered before its first guest use. Schedule delivery so these steps finish before the function, with a margin for any rejected pieces to be replaced. Record batch references at receipt so later retirement or matching issues can be traced.
