What Size Cloth Napkin Should a Hotel Order? A Service-by-Service Guide

A napkin should fit the service, the place setting, and the guest's lap - not merely a catalogue size. A folded sample can look perfect on a plate yet become too small after laundering or too bulky for a compact tray. Use this guide to decide sizes by outlet and approve a finished sample before ordering at scale.

Choose by service rather than one hotel-wide size

For formal dinner service, buyers often trial square napkins around 20 x 20 or 22 x 22 inches (about 51 or 56 cm square). The extra cloth gives lap coverage and supports more elaborate folds, but it also takes more storage, wash capacity, and pressing time. Confirm what suits your place setting instead of treating either dimension as a mandatory standard.

Lunch and all-day dining may use a smaller square for a simpler fold and faster handling. Bar and cocktail service usually calls for a substantially smaller cloth for a drink or light bite; for small reusable cocktail formats, trial a size and weight that stays put on the tray and can still be collected and laundered efficiently.

Test the napkin on the real table and tray

Fold samples the way staff actually set tables. Check whether the fold covers a plate, aligns with the woven satin band or embroidered logo, stays upright when required, and feels comfortable once opened. A border that looks centred flat may disappear inside the chosen fold.

For airlines, lounges, and in-room dining, test the fully folded dimensions against the actual tray, cutlery pack, and service trolley. Note the maximum stack height and whether a pressed edge catches on neighbouring items. The smallest acceptable size is the one that works for both presentation and use.

Specify finished size and shape

Write the required dimensions as finished measurements and state whether they are measured before or after the agreed laundry trial. A square napkin should remain reasonably square; uneven shrinkage can make a neat fold impossible. Record acceptable measurement tolerances, hem width, corner construction, and border or logo placement.

If a design includes embroidery, allow enough clear space from hems and the fold line. Request a full-size sewn sample rather than judging from artwork or a small weave cutting. Measure at several points after the sample has been finished and laid flat without stretching.

Include fabric and laundry in the size decision

A dense damask napkin and a light plain-weave napkin of the same dimensions will not fold or drape in the same way. Choose the weave, fibre, and finished GSM alongside the size. Ask the laundry team which formats can pass through the property's equipment and how long each takes to iron and fold.

Wash and press representative samples with the property's actual chemistry and settings. Check dimensional change, hems, creases, colour, and logo placement after repeated cycles. Store one approved washed sample with the specification; a pristine unwashed sample alone cannot prove the delivered napkins will remain usable.

Calculate quantities for each outlet

Count napkins by expected covers and service periods, not just seats. An outlet with two turns needs enough clean stock to serve both before laundry returns. Banquet operations should plan for simultaneous functions, reset needs, spills, and reserve pieces. Separate dinner, lunch, cocktail, and branded stock by item code because one format cannot always substitute for another.

Keep a record of rejects and monthly losses, and agree a reorder point using the supplier's real lead time. For coloured or woven-to-order napkins, retain the shade reference and sample so a replacement order can be checked against the original specification.

Provide the outlet and service type, intended fold, proposed finished size, fabric and weave, colour, hem, any logo artwork, laundry process, expected covers, and quantity. Ask for an approved production sample in each size and repeat the wash-and-fold test before sign-off.
