Hotel Table Linen Inventory Audits: Repair, Reclassify, Replace, or Reorder?
A stock ledger can show 400 table cloths while only 280 are ready for a guest-facing table. Some are in the laundry, others are stained, and others no longer match the approved size or colour. A periodic condition audit turns the total count into a usable-stock figure and gives purchasing a defensible replacement plan.
Count by item code, size, and location
Separate round cloths, rectangular cloths, napkins, colours, and branded stock. Record each item's approved finished size and outlet, then count clean shelves, in-use stock, laundry, transit, and any quarantined pieces separately. A banquet cloth in the wrong size is not available to fill an apparent shortage at a restaurant table.
Reconcile the physical count to the ledger and record unexplained differences. Use a fixed cut-off time and avoid double-counting a laundry trolley that is transferred during the audit. If the laundry is off-site, request its item-code count for the same cut-off date.
Grade against a defined guest-facing standard
Set a written standard under the lighting of the actual dining room. Grade each inspected piece as ready for guest service, repair or rewash, suitable only for a lower-visibility use, or retired. Check stains and odour, holes, thinning, frayed hems, warped corners, shade variation, shrinkage, and whether the cloth still gives the required table drop or the napkin still folds correctly.
Sample different storage shelves and laundry batches rather than examining only the neat top of a stack. Photograph representative defects and log the reason for each downgrade. A count without condition grades can overstate the amount of stock that operations can actually issue.
Decide what can be recovered
A loose hem may be worth repairing if the fabric is otherwise sound and the repair still meets the presentation standard. A piece with removable soil can return for targeted stain treatment and a documented rewash. Do not repeatedly send permanently marked fabric through harsher chemistry without the laundry team's approval; the cost and damage may exceed its remaining value.
Some serviceable pieces can be reassigned to back-of-house or another approved use. Change their item code or status immediately so they cannot be counted again as dining-room stock. Retire pieces with holes, persistent contamination, or fabric too thin to meet the property's standard. Follow the property's hygiene and disposal rules rather than improvising a reuse pathway for unsuitable items.
Calculate the usable-stock gap
For each item code, calculate available usable stock as ready pieces plus recoverable pieces expected back before the next service; do not include uncertain repairs or pending laundry in a guaranteed count. Compare that figure with the minimum working quantity required for the peak schedule and laundry turnaround. For example, a 300-piece requirement minus 240 confirmed usable pieces is a 60-piece immediate gap.
Then forecast losses during the supplier's lead time and add an agreed safety allowance. A reorder quantity is the target stock minus confirmed usable stock minus already-approved incoming stock, adjusted for expected retirements before delivery. Review each size separately: surplus small cloths do not solve a shortage of large banquet rounds.
Keep the replacement consistent
Retain a washed reference sample, production specification, finished dimensions, colour or shade reference, weave, GSM, hem details, and original purchase code. Compare the new supplier sample with a well-maintained in-service piece under venue lighting. Mixing new and heavily worn pieces on one banquet floor can make even the correct shade look inconsistent.
Record the audit date, loss reasons, repair outcome, and replacement order by code. Repeat at a frequency appropriate to the property's volume and seasonal events.
